SC Cleared Administrator Jobs based in Aldermaston, Reading. We have an exciting opportunity for an SC Cleared Administrator to join our client in Aldermaston on a permanent basis. This role will be fully site based and pay a salary of £24,000. This role will be a 9 day fortnight.

Candidates must hold SC Clearance which is currently Valid.

The Administrator reports to the Operations Manager and is responsible for carrying out administrative support. This function requires a strong administrative and office management capability with excellent organisational skills.

Duties and Responsibilities:

Primary responsibility covers the provision of a comprehensive Office Administration function.

* Resourcing – New joiners, movers, and leaver process:
Firstly, hiring new resources onto the account.
Following the Hiring Process as directed.
Responsible for the Account Onboarding and Offboarding process.
Maintain work instructions for joiners, movers, as well as leavers.
Coordination new starter checklist with the SLLs and TLs.
Deliver the induction session to small groups of new starters.
Offboarding (leavers).
Maintain records of members of the account, including clearance and compliance with pre-medical and drug testing.
Update central spreadsheet of who is on the account.
Add to onboarding process.
Maintain Distribution list.
Finally, arranging pre-employment medicals.

* Security Clearance/Compliance:
Firstly, ensure we have SLOs in place.
Process and track security vetting applications (transfers and new requirements).
Process visits requests.
IT Permit and Security Waivers (Laptop Forms).
Notify Staff when Security Clearances and SAF forms are due.
Finally, clearance renewal dates/held by and SAF dates.

Health and Safety:

Firstly, maintain an up-to-date list of first aiders.
H&S – maintain Risk Assessment signature sheets. (And ESH form from Owen today).
H&S report (OSHA).
Also, support First Aid compliance as directed by the Safety Officer.
Ensure First Aid Boxes are comprehensively maintained as required by First Aiders.
AE Reporting.
Finally, Loler service records.

Communications / 1 team initiatives:

Firstly, support and Implement Branding / Promotional material as directed by Management.
Act as a point of contact for internal queries and where appropriate enquiries from the client.
Finally, arrange Team Events.

*Act as the single point of contact for account-wide communications, and authoring. Distribution and releasing comms where required, including:
Firstly, schedule and host Town Halls and provide associated Comms.
Compile and publish newsletters.
*Highlight, co-ordinate and communicate upcoming Team events including:
Firstly, Christmas Do.
Team Building Initiatives.
Covers motivational initiatives and team bonding initiatives.
Finally, arrange the provision of phones, and fuel cards.

IT:

Facilitate and progress Applications for network accounts Transfer of IT Assets.

Training:

Firstly, collate and add training to central tracker, monthly.
Ensure staff and contractors complete all mandatory training.

*Resource Management – Location and Absences:
Compile and sense-check whereabouts (mostly automated).

*Documentation management and maintenance:
Firstly, Additional Activities – sundry items:
Support other functions where necessary. Recruitment, finance, office management, procurement.
Provision of Refreshments on site (Coffee, Tea, Milk, Sugar and Water).
Finally, track spent against Blanket Purchase Orders. Raise new BPO’s when funds run low.

Van maintenance/management:

*Ensure the following compliance activities have been undertaken and that all vans have:
Firstly, a valid MoT.
Servicing history.
Tyres within legal limits.
The vans are roadworthy and in good order.
Also, vans are kept clean and tidy.
In car fire extinguishers are within date and ffp.
Insurance.
Monitor van usage as well as provide reporting to the Operations Managers.
Capture mileage.
Purpose of journey.
Finally, capture overall usage by engineer (booking out/booking in system).
