Type: Fixed Term Contract (ASAP to end of the year)
Salary: £35,000 (dependent on experience) + training + company benefits
Firstly, the Licensing Administrator will provide administrative support to the engineering IT team and wider business within IT Services. Secondly, the post holder will play a key role in ensuring the management of the recurrent licensing and contract portfolio ensuring timely renewal of recurrent software and associated contracts. The Licensing Administrator is responsible for maintaining all documentation within the asset management lifecycle and ensuring key information is available to stakeholders. Furthermore, you will handle renewals and be the initial point of contact for all routine activities relating to software licensing within the remit. Additionally, there will be project and programme administration activities that will need to be undertaken.
Firstly, act as the initial point of contact for all routine activities relating to licensing and respond to service requests and renewal activities on behalf of the engineering IT Team.
Additionally, be responsible for managing recurrent software, handling renewals, upgrade releases, key refresh schedules and information relating to changes.
Maintain licensing documentation including license contracts and publish software-related information including certificates, key codes, and other documentation to support internal and external stakeholders.
Also, assist in the development and dissemination of software information for stakeholders as well as the Business Continuity/Engineering IT Manager and technical team with administration of the software budget.
Maintain awareness to gain knowledge and understanding of changes to versions and licensing agreements, ensuring that all documentation is up to date and stakeholders are kept aware.
Utilise Assets Management features within Jira to maintain accuracy of deployments and compliance across the Business software portfolio.
Project administration – Work alongside the engineering IT project streams for administration and reporting activities.
Use of ITIL Change management and asset management methodology to process the life cycle of licences.
Use or awareness of Prince2 or Agile project methodologies.
Communicate effectively and act as a key liaison with all customers, team members and colleagues across the business at all levels. Be able to manage expectations, clearly explaining what is realistically possible or not.
Develop and maintain a detailed knowledge of the roles of other teams and individuals within IT Services, as well as other key business units. Furthermore, create relevant documentation for software licenses and know-how and from whom to elicit help.
Understand and respond to queries and technical requests that come into the service desk and respond in a timely manner.
Raise orders for renewals and seek the appropriate approvals and sign off for new demand and service continuity / Renewals.
Additionally, you need to ensure the license model is correct.
ITIL Certification / Process experience
Database or Records management
IT Service Desk Experience and Management of SLA’s
Meticulous focus and attention to detail
Excellent Written and Verbal communication
Ability to work under pressure
2 years experience in a similar role
Experience of Jira ITSM as well as SAP or other business financial applications
Financial / Budgetary experience
Awareness of Prince2 or Agile Methodologies
